THE PROCESS

The Idea
Check out the Student Projects Operating Policy to ensure your idea is something Student Projects can fund!
NOTE: Consult with Infrastructure & Sustainability prior to your application if you plan on making changes to a Victoria College space or building. Consult with the Office of the Dean of Students if you plan to host an event with risk factors (such as alcohol).
Fill out a Grant Application Form, and explain your project idea to us! We're interested in hearing the details, descriptions, and thought processes behind your idea. Tell us how your project will benefit Vic student life. Most importantly, tell us what you want funding for and how much you need.
Fill out a digital copy and submit it to the Student Projects Chairperson at studentprojects@vusac.ca
The Grant application
Endorsements
If your grant request exceeds $2000, you will require 2-5 members of the Victoria College Union (Vic students or students living in Vic residences) to endorse your project. Ask them to fill out an endorsement (included on the Grant Application Form), explaining how/why your project will benefit Vic.
YOU are responsible for ensuring endorsements are included in your application.
Once the Student Projects Chairperson has received your COMPLETE application, you'll be provided with an interview time at the next Committee meeting. You are REQUIRED to attend this interview or send a representative to present your project to the committee and answer any questions we may have. This is so we can hear about your idea straight from the source!
The Interview
Deliberation
Once you've completed your interview, the Committee will deliberate and vote on whether your project will be granted funding. If your project is approved, it will then be sent for ratification by VUSAC at their next meeting. Once VUSAC has made its decision, you will be contacted by the Student Projects Chairperson about your application.
If your project is approved, bring your ideas to life! If your project is not approved, you're welcome to contact the Student Projects Chairperson with any questions/concerns you might have.
The Student Projects Fund operates on a reimbursement system, where you will email the Student Projects Chairperson (studentprojects@vusac.ca) and attach all original receipts and invoices. Once your reimbursement request has been processed, you will receive a cheque.
For particularly large grants, an invoice may be issued to Student Projects Fund and the Office of the Dean of Students can pay directly.
